Privacy & Security Policy

Greatconnections Limited ACN 117 660 581 (Greatconnections) respects and upholds your rights to privacy protection under the National Privacy Principles contained in the Privacy Act 1988 and any similar state or territory legislation applicable.  This policy describes how we manage any personal information we have about you.

1. Information collection – Not-for-Profit Organisations

1.1 By registering as an Organisation with Greatconnections (whether by mail or by visiting our website), you will be asked to submit certain personal information by email, in writing or in online form.  The information that we hold about you may include: your name, email address, postal address, contact details, description of your organisation and the “projects” of your organisation. 

1.2 Information collection – Volunteers

1.3 By registering as a Volunteer with Greatconnections (whether by mail or by visiting our website), you will be asked to submit certain personal information by email, in writing or in online form.  The information that we hold about you may include: your name, email address, postal address, contact details, and description of your skills.

1.4 Information collection – General

1.5 If at any time you provide the personal information of another person to us (for example, if you are completing the form on behalf of another person), then you must ensure that that person has read and understood this policy and separately consents to that personal information being used and disclosed by us for the purposes set out in section 2 below.

1.6 We may also collect the following information from our website:

  1. Statistical information

    Greatconnections may collect statistical information regarding the use of the website.  This collection includes your computer’s Internet Protocol (IP) address, the date and time of your visit, previous site visited and browser type.  This information is collected to provide us with information about the use of the website and to help us maintain and develop the website to provide better information to users.

  2. Cookies

    Our website uses cookies for the purposes of session tracking.  We do not collect any personal information about you, including any habits when accessing our website. 
    You can prevent this collection of information by setting your browser to block cookies.  This will not prevent you from accessing the website, however it may prevent you from utilising all features of the website.

2. Use and disclosure of information

2.1 The information we collect is used:

  1. to assist us in identifying appropriate Volunteers for Organisations;
  2. to source appropriate volunteering opportunities for the Volunteers;
  3. to provide Organisations with a selection of appropriate Volunteers;
  4. to respond to your queries;
  5. to publish the information about applicable registered Organisations on our site (accessible only to registered Volunteers);
  6. to send the information about applicable registered Organisations to registered Volunteers;
  7. to send Organisations and Volunteers regular email communications or newsletters (including news, upcoming events and volunteering information), and other information about Greatconnections (both electronic and hardcopy);
  8. to promote Greatconnections; or
  9. for purposes that are expressly permitted under any agreement with you.

2.2 Greatconnections will not use or disclose, and will use reasonable endeavours to prevent the use or disclosure of, information provided by you except:

  1. to disclose the Volunteer’s personal information (other than contact details) to all of the registered Organisations;
  2. to disclose the Organisation’s information (including the personal information of the Organisation’s contact) to the Volunteer accepted by that Organisation;
  3. as required for performance of any services by us for you;
  4. expressly permitted under any agreement with you;
  5. on a confidential basis to agents that we use in the ordinary operation of our business, such as for data processing, printing or mailing;
  6. on a secured basis as required for the ordinary operation of our website, such as sending the information to a back up data centre;
  7. as required under compulsion of law or provided in co-operation with any governmental authority; or
  8. where disclosed in a manner that does not readily permit identification of information relating to you.

3. Access and Correction

3.1 You may request access to personal information we hold about you by writing to our Privacy Officer at the address below.  Where we hold information that you are entitled to access, we will endeavour to provide you with a suitable range of choices as to how you access it (e.g. emailing or mailing it to you).

3.2 If you believe that personal information we hold about you is incorrect, incomplete or inaccurate, then you may request amendment of it.  We will consider if the information requires amendment.  If we do not agree that there are grounds for amendment, then we will add a note to the personal information stating that you disagree with it.

4. Marketing and promotion communications

4.1 Greatconnections may use the personal information provided to send newsletters outlining news, details on upcoming events, volunteering information and other information about Greatconnections (both electronic and hardcopy) to you.

4.2 You may opt out of receiving any communications from us at any time (other than as required for the operation of our organisation, e.g. alerting a Volunteer that an Organisation has accepted his or her application).  If you wish to do this, please make all requests in writing addressed to our Privacy Officer at the address below.  Please indicate on your request whether you wish to opt out of either, or both, postal and electronic marketing communications.

5. Security

5.1 You should note that the information that you have provided to us via the website is not encrypted, and the website is linked to the Internet which is inherently insecure.  Greatconnections cannot provide any definitive assurance regarding security of the information.   

5.2 Once the information is collected, Greatconnections will take all reasonable steps to protect that information from misuse, loss or unauthorised access.  We will destroy your personal information once it is no longer needed for the purpose for which the information was collected.

6. Links to other websites

6.1 From time to time Greatconnections’ website may contain links to other websites.  Greatconnections is not responsible for the privacy practices or the content of those websites.

7. Miscellaneous

7.1 This policy represents our policy as at 6 April 2006.  We may change this privacy policy from time to time.  Any amendment will be made on a prospective basis, i.e. all information received or retained before the time of any amendment will remain subject to the privacy policy applicable before the amendment.

7.2 Although we intend to observe this policy at all times, it is not legally binding on Greatconnections in any way.  From time to time we may regard it as necessary or desirable to act outside the policy.  Greatconnections may do so, subject only to any statutory rights you have under the Privacy Act or other applicable legislation.
